Here is how it works.

1. At setup, your fleet list goes in, sedan to 56-passenger coach. Those are your vehicles and your numbers, not ours.
2. A caller wants a trip. It keeps what the caller already said and asks for what is missing. Passengers and bags are asked on every new trip.
3. It looks at passengers and bags together. A party can fit the seats of a sedan and still not fit the trunk. An airport run with a lot of luggage is the usual case. The bags move the trip up to a vehicle on your list that holds them.
4. It quotes the trip from your rate sheet. A price that is not on the sheet is flagged for dispatch, never made up.
5. It reads the trip back and books it.

If no vehicle on your fleet list fits the passengers and the bags, the trip is flagged for dispatch. Your team decides what to do: a bigger vehicle, a second car, or a call back to the customer.

Right after the call, your dispatcher has the trip sheet, the recording and the transcript. If the bag count looks off, dispatch can play the call and hear what the caller said.
